This notice explains how Fusilair Ltd uses personal information when you visit this website, make an enquiry, request a quotation, receive services or use the customer portal.

Who is responsible for your information?

Fusilair Ltd is the data controller. We are registered in England and Wales under company number 16006669. Our registered office is 51 Mays Drive, Westbury, England, BA13 3ZA.

Information we collect

Depending on how you deal with us, we may collect:

• Your name, company or household name and contact details.
• Your address, postcode, site and equipment information.
• Enquiry details, correspondence, quotations and service history.
• Customer portal account, job, warranty and support information.
• Payment, invoicing and transaction records where relevant.
• Basic technical and security information needed to operate and protect our systems.

Most information comes directly from you. We may also receive information from a colleague, landlord, facilities manager, supplier or other person acting for your organisation.

Website enquiries and customer records

Submitting the contact form creates an enquiry and customer record in Fusilair OS so that we can respond, prepare a quotation and keep related information together. It does not automatically create a login or require you to open a portal account.

If you choose to create an account, or receive an invitation with a quotation, the portal provides secure access to your quotes, jobs, equipment, warranty information and support.

Why we use your information

We use personal information to:

• Respond to enquiries and take steps you request before entering a contract.
• Prepare quotations and provide, manage and support contracted services.
• Manage customer accounts, appointments, equipment records and warranties.
• Issue invoices and keep records required by tax, accounting and other laws.
• Protect our customers, staff, website and systems from misuse or fraud.
• Manage and improve our service where this does not override your rights.

Our lawful bases are usually taking steps before a contract, performing a contract, complying with legal obligations and our legitimate interests in operating and protecting a responsible engineering business. Where consent is required for a particular activity, we will ask for it separately and you may withdraw it.

Who we share information with

We may share information only where needed with website, customer portal, email, storage and IT providers; professional advisers; payment and accounting providers; manufacturers, suppliers or subcontractors involved in the work; and public authorities where the law requires it. These organisations must handle information securely and only for the relevant purpose.

Some service providers may process information outside the UK. Where this happens, we use an approved legal safeguard, such as UK adequacy regulations or contractual protections.

How long we keep information

• Enquiries that do not lead to work are normally kept for up to 24 months after the last contact.
• Customer, quotation, job and portal records are normally kept for up to six years after the last transaction or completed work.
• Accounting and tax records are kept for the period required by law.
• Records may be kept longer where needed for a warranty, legal claim or regulatory requirement.

We securely delete or anonymise information when it is no longer required.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to its use, or receive a portable copy. These rights are not absolute and can depend on our lawful basis and legal obligations. Contact us to exercise a right; we may need to confirm your identity first.

You may complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. We would appreciate the opportunity to address your concern first.

Cookies and automated decisions

The public website does not use advertising or marketing cookies. Essential technology may be used where necessary for security and to provide a feature you request. We will update this notice and provide any required choices before adding non-essential tracking.

Fusilair does not make solely automated decisions about website visitors that have legal or similarly significant effects.

We may update this notice when our services or legal obligations change. The current version will always be published on this page.
